Legal Assistant – Immigration

Caron & Partners LLP is a mid-sized Calgary law firm with over 55 years of experience providing high-quality legal services and strategic counsel. Our growing Immigration Practice is seeking a dedicated and detail-oriented Immigration Legal Assistant to support our team and clients. 

 Overview 

The ideal candidate will be responsible for providing secretarial services, accounts assistance, and office services support to a busy and dynamic Immigration Practice Area. To be successful, you possess excellent written and verbal communication skills, quick turnaround time, a keen eye for detail, discretion and a professional attitude. This is a great opportunity for a Legal Assistant who enjoys a dynamic desk with a strong desire to be on a team. 

Key Responsibilities 

  • Work collaboratively with the Lawyer(s) and clients to ensure invoices are paid in a timely fashion   
  • Assisting Lawyer(s) in setting up special payment arrangements for clients and in resolving questions and/or problems regarding payment of accounts 
  • Drafting of routine letters and basic court documents   
  • Opening and closing client files and preparation of engagement letters   
  • Assist with ongoing client meetings and contact clients to obtain relevant case information   
  • Diarizing applications and administrative deadlines 
  • Organizing and maintaining clients’ files   
  • Draft and process clients’ invoices and monthly billings 
  • Set up and maintain records management systems (including classifying and coding electronic and hardcopy files)  
  • Answer the phone, schedule appointments and meetings, and handle administrative and business details 
  • Open correspondence, co-ordinate the flow of information and respond to routine inquiries.   

Knowledge and Skills Requirements: 

  • Legal Assistant Diploma from an accredited institution or an acceptable level of on-the-job training 
  • Minimum of 1 year of experience as an Immigration Legal Assistant 
  • Experience in assisting with refugee claims, H&C applications, sponsorship, and permanent residence applications is an asset 
  • The ability to communicate in Spanish, both written and verbal, is considered an asset 
  • Good command of English (reading, writing and speaking) 
  • Proficiency with Microsoft Outlook, Word, Excel, Teams and Adobe
